RTA Fleet360 publishes Pro at $6 per asset per month, Advanced at $8 and Enterprise at $11, all with unlimited users, billed annually, with a 100-asset minimum.4 Fleetio publishes Essential at $4 per vehicle per month, Professional at $7 and Premium at $10, also with unlimited users, billed annually.1 Both publish openly, but the two numbers are not directly comparable. Fleetio notes that its rates vary by plan, fleet size range, contract term and payment term, and that the published figures assume a five-asset plan band, while RTA Fleet360 does not quote below 100 assets. Compare quotes at your actual fleet size, on matched tiers, and check what each tier includes before comparing the per-asset number.

More than most buyers expect, which is why tier matters more than headline price. Per Fleetio's published pricing, parts management and API access begin at Professional. Purchase orders, inventory and cost reporting, low-stock notifications, valuation methods, tire management, warranty management, motor pool, labor clock in/out, parts and labor markup, work order invoicing and Advanced Analytics are all Premium. Workflow automations are tiered as well: none on Essential, up to 5 on Professional, up to 40 on Premium. Tools and small equipment are a paid add-on on every tier.1 Several of those are day-one requirements for an in-house shop, so a quote built on Essential or Professional is not a like-for-like comparison.

Per asset. Every RTA Fleet360 plan includes unlimited users. Some third-party comparison sites incorrectly list RTA Fleet as per-seat pricing. The published model is per asset, per month, billed annually.

Does Fleetio support departmental billing and chargebacks? expand_more expand_less
Partly. On its Premium plan, Fleetio can mark up parts and labor on a work order and email an invoice, and its government pages cover tracking costs by department.12 That bills an outside customer and reports what a department spent. RTA Fleet360 is built for cost recovery: each department is set up as a customer carrying its own markups, flat rates and shop supply overhead, with fuel flagged billable, and the Customer Accounting Report closes out each month by department or cost center.16 If you recover your budget from the departments you serve, ask each vendor to configure those rates live, run a work order through, and show you the month-end report the department gets billed from.
Which handles vehicle replacement planning better? expand_more expand_less
Both platforms will tell you which vehicles are due. Fleetio includes Replacement Analysis and total cost of ownership reporting on all three of its plans, and its government page shows a replacement analysis report.12 RTA Fleet360 does replacement scoring on the same question, then goes one step further into funding: an annual replacement budget calculated from the total cost to replace the fleet today divided by the average lifecycle of the vehicles, with depreciation schedules feeding long-range cost forecasts.16 It also tracks replacement backlog as a ratio: the value of everything overdue for replacement measured against what the whole fleet would cost to replace today, with anything past 25 percent treated as a red zone. The difference shows up in what you can walk into a budget hearing with. "These twelve units are past their economic life" is a maintenance argument. "Our replacement backlog is 31 percent of fleet value and here is the annual funding that pulls it back" is a finance argument, and it is the one that gets funded.
Does Fleetio support VMRS coding? expand_more expand_less
Yes. Fleetio supports VMRS and publishes a page describing it, including System, Assembly and Component codes plus Reason for Repair and Repair Priority Class.12 Fleetio's approach is deliberately optional; fleets adopt as much or as little of the coding structure as they want. RTA Fleet360 also supports VMRS across work orders, parts and repair history reporting, and fleets that need it for audit defensibility can require it.11 If VMRS is a scored requirement in your RFP, both platforms can answer yes. The question worth asking each vendor is whether coding can be made mandatory at the point of repair, because optional coding produces optional data.
Can Fleetio track mounted equipment separately from the vehicle? expand_more expand_less
Partly. Fleetio offers asset linking. A tool, trailer or second vehicle can be linked to a vehicle, each keeping its own maintenance record, with a history of what was linked when.13 Two caveats: linking is part of the paid Tools add-on rather than the core product, and it is a flat association, not a parent/child hierarchy. RTA Fleet360 includes parent/child links on every plan, so a plow, crane, aerial lift or generator carries its own record, PM schedule and cost history while still rolling up to the host vehicle.4 For a fleet that has to answer "what has this plow cost us across three trucks," the hierarchy is what makes that question answerable.

The capability is comparable; the packaging is not. Fleetio includes standard reporting on every plan, adds customized dashboards from Professional up, and reserves Advanced Analytics (custom dashboard reports, additional data sets, threshold alerts and data visualizations) for Premium.1 RTA Fleet360 includes custom reports, dashboards and scheduled reporting on all three plans.4 When you compare quotes, check which tier each proposal is built on. A Fleetio Essential or Professional quote and an RTA Fleet360 quote are not carrying the same reporting.
How does AI compare between RTA Fleet and Fleetio? expand_more expand_less
Both are shipping it. Fleetio publishes AI Service Advisor, which surfaces recommended maintenance and next best actions, and Smart Uploads, which digitizes service records to cut manual entry.2 RTA Fleet360 includes Ron360, a built-in assistant that answers plain-English questions about assets, work orders, parts, costs and compliance against your own live fleet data. Ron360 is read-only, so it never creates, edits or deletes a record, and every response carries a reasoning trace showing how the answer was produced and which data it pulled from.19 For a public fleet that has to defend its numbers, being able to show the work matters as much as the answer. Then there is the question of what the AI has to work with. These tools run on your maintenance history, so its depth sets the ceiling. A fleet that codes every repair to VMRS, separates direct from indirect labor and runs its own parts room is asking questions of a complete record. A fleet whose history is mostly third-party invoices is asking questions of a receipt file. Evaluate the data model first, then the assistant on top of it.
Can either platform manage multiple shop locations? expand_more expand_less
Both support multi-location fleets, but they organize them differently. Fleetio publishes a multi-location solution built around groups and subgroups that mirror an org chart, role-based permissions by region or branch, asset transfer between sites, and cross-site reporting.9 That is location-level oversight. RTA Fleet360 organizes by shop. Assets, parts inventory, labor and users are assigned to a specific garage, so a county running three shops can see technician productivity, parts usage and PM compliance per shop as well as fleet-wide.10 If your question is "how is my Ridgefield shop performing against my downtown shop," that is a shop-level construct, and it is not published in Fleetio's documentation. Fleetio's comparison page describes RTA multi-location support as less flexible; RTA Fleet publishes the capability in detail.310

Fleetio's comparison page states that RTA has limited integrations and API flexibility.3 RTA Fleet360 publishes an open API and webhooks on its pricing page, with public developer documentation at developers.rtafleet.com, and lists more than 50 prebuilt integrations.417 That includes Geotab, Motive, Verizon Connect and Samsara, the four telematics providers Fleetio names on that same page, along with Zonar, Trimble, Teletrac Navman, EROAD, ORBCOMM and others, plus fuel card and fuel island systems. Both lists are public, so compare them directly rather than taking either vendor's summary.
Does RTA Fleet360 track small tools and equipment? expand_more expand_less
Yes. RTA Fleet360 publishes three plans: $6, $8 and $11 per asset per month, all with unlimited users, billed annually, with a 100-asset minimum.4 There is no per-user plan. Fleetio's comparison page describes RTA as costing $6 to $8 per asset per month with some legacy customers on $90 per user per month.3 Per-seat and quote-only figures still circulating on third-party directories are out of date. This is the question most evaluations skip. A fleet management system that is configured but never operationalized (PM programs misconfigured, inspections never activated, inventory drifting negative) produces compliance numbers that look correct and aren't.
