How to Use Reports to Your Advantage

Written by Mary Motzko | Feb 7, 2019 7:00:00 AM

Fleet management software systems come with the added benefit of reporting tools. These reports can provide data to help fleet managers make key decisions about their fleet and help improve the efficiency of their staff -- and entire operation.

Reports can help fleet managers watch costs, track productivity, monitor maintenance issues, track fuel usage and pull information related to compliance and regulations.

Manage Costs

Reporting tools in fleet management software can help managers track fleet expenses to ensure they are staying on budget. Running various reports can help managers monitor overall spending, like the operation’s total costs, period spending (year/quarter/month/week) and specific expenses like costs per vehicle, mile, make and model, and more.

Reports can also help managers keep tabs on their inventory and make informed decisions about which parts to order, and when.

Managers can also access data to track labor hours to account for total hours and any potential overtime costs.

Track Vehicles

Fleet managers can use reports to better track their fleet’s vehicles. Using fleet management software, reports can be pulled to monitor vehicle data by make, model, mileage, and more. It can also help fleet managers track the usage of each vehicle, its maintenance history, total cost of ownership, and warranties.

Schedule Maintenance

It’s crucial for fleet operations to stay up-to-date on preventative maintenance. Using reports, managers can track which vehicles are overdue for PM, and which are scheduled – and when --- for preventative maintenance. This helps fleets run more efficiently so they are ensuring all vehicles are undergoing PM, and they are scheduling around the vehicle’s workload to limit an asset’s downtime.

Monitor Fuel Usage

Fuel is one of an operation’s largest costs. Not pulling data frequently can cause operations to fall behind budget. Managers can pull reports on fuel usage to track the operation’s overall costs. Reports can also be run on individual vehicles to see how much fuel each asset is using and its corresponding costs. Managers can also track how much each driver is using to help determine if any staff members are mis-using fuel for personal vehicles or purposes.

Comply with Regulations

Fleet managers can help keep their operation compliant with federal, local and company regulations and laws by pulling reports on vehicles and drivers. Reports can help notify managers which vehicles are due for registration, emissions tests, safety tests, and more. Reports can also be run to ensure drivers are up-to-date on their licensure and certifications. Individual reports can also be pulled on accidents and incidents to track driver behavior.
